How suppliers receive RFQs and submit quotes without login

QuoteBase uses magic links so suppliers can access RFQs and submit quotes without creating accounts. This reduces friction and speeds up quote collection.
How Magic Links Work
- Buyer invites supplier to RFQ
- Supplier receives email with unique link
- Link is valid for 30 days (or until RFQ deadline)
- Supplier clicks link → instantly sees RFQ details
- No password, no registration, no hassle
Magic links are secure: each link is unique per supplier per RFQ. If compromised, you can revoke access in Settings → Suppliers.
RFQ Details View
When suppliers click the magic link, they see a mobile-optimized view of the RFQ with all line items and custom fields.
What Suppliers See
- RFQ title and description
- Deadline date and time
- Line items table (description, quantity, unit)
- Custom fields (material, finish, tolerance, etc.)
- Any attachments (drawings, specs, PDFs)
- Delivery address (if specified)
- Payment terms and Incoterms
Pro Tip
The supplier portal is mobile-optimized. Suppliers can quote from their phone while on the factory floor!
Submit Quote
Suppliers fill out a simple form with line-by-line pricing. Turkish tax calculation (KDV) is automatic.
Quote Form Fields
- Unit Price (excl. tax) - For each line item
- Tax Rate - 0%, 1%, 10%, or 20% KDV (auto-calculated to incl. tax)
- Delivery Time - Lead time in days
- Payment Terms - E.g., "30 days net", "Advance payment"
- Incoterms - FOB, CIF, DDP, EXW
- Notes - Optional comments per line or overall
- Attachments - Upload datasheets, certificates, etc.
KDV calculation: unit_price_incl_tax = unit_price_excl_tax * (1 + tax_rate/100). This is a GENERATED column in quote_lines table.
Quote Status Tracking
After submitting, suppliers can track their quote status via the same magic link.
Status Options
- Pending Review - Buyer hasn't reviewed yet
- Under Evaluation - Buyer is comparing quotes
- Accepted - You won! Congrats
- Rejected - Not selected this time
- Expired - RFQ deadline passed
Important
Suppliers cannot see other suppliers' quotes or how many competitors were invited. This maintains competitive fairness.
